This is a combined privacy policy and information document in accordance with the Finnish Data Protection Act and the European Union General Data Protection Regulation (2016/679/EU).

Legal Basis for Processing Personal Data

General Information on the Processing of Personal Data

To the extent that the customer register contains personal data, such data is processed in accordance with the Finnish Data Protection Act and other applicable laws, regulations, provisions and official guidelines concerning the processing of personal data.

Personal data means information that can be linked to a specific individual. This privacy policy describes in more detail the procedures related to the collection, processing and disclosure of personal data, as well as the rights of the customer, meaning the data subject.

Purpose of Collecting Personal Data

 

A customer relationship or other comparable relationship.

The purpose of the customer register is to enable contacts required for customer service and to maintain the customer relationship.

Purpose of Use of the Data

The data in the customer register may be used for the following main purposes:

  • managing and developing the customer relationship
  • producing, offering, developing, improving and protecting services
  • invoicing, debt collection and verification of customer transactions
  • targeting advertising
  • analysis and statistics related to services
  • customer communications
  • fulfilling the controller’s statutory obligations
  • other corresponding purposes

Content of the Customer Register / What Data Do We Collect?

The assignment diary and its attachments process, or may process, data belonging to the following categories:

  • basic customer information, such as name/company, address, email address and telephone number
  • information related to invoicing and debt collection

Data Retention Period

Personal data is generally processed for as long as the customer agreement, for the management of which we need the data, remains in force. We record the data in the register as received from the data subject, and the data is updated based on information provided by the data subject to the controller.

Other personal data will be deleted once there is no longer a need to retain it. If the collection and retention of personal data has been based solely on the customer’s consent, the personal data will be deleted upon the customer’s request.

Disclosure of Data / To Whom May Data Be Disclosed?

Data is not disclosed for marketing purposes.

Data is not regularly transferred outside the European Union or the European Economic Area. However, data may be transferred or disclosed outside the European Union or the European Economic Area as permitted by law, if the data is transferred to a country where the European Commission has determined that an adequate level of data protection exists, or if an adequate level of data protection can be ensured through contractual arrangements.

Transfers outside the EU may also temporarily occur in connection with the use of various cloud services, such as OneDrive, Google Analytics, iCloud or Dropbox.

Data is disclosed to authorities in cases required by law.

Principles of Register Protection / How Do We Protect Your Personal Data?

Access to the register requires a user ID granted by the main user of the customer register. The main user also determines the level of access granted to other users.

Only those employees of the controller and employees of subcontractors who need access to the data in order to perform their work-related duties have access to the data.

Customer Rights / How Can I Ensure That the Processing Is Lawful?

Inspection, Access and Transfer of Data

The customer has the right to inspect what data concerning them has been stored in the customer register. The customer must submit the inspection request to the controller in writing, in a personally signed document or in a similarly verified document, or by email.

The controller will provide the above-mentioned information to the customer within 30 days of receiving the inspection request.

The customer has the right to have the customer data they have provided transferred to a third party in a structured, commonly used and machine-readable format. However, the controller will retain the transferred data in accordance with this privacy policy.

Correction of Incorrect Data

The customer has the right to correct personal data stored in the personal data register to the extent that the data is incorrect.

Objecting to or Restricting Processing and Deleting Data

The customer has the right to object to the processing of data concerning them for direct marketing, distance selling, other direct marketing, market and opinion research and the development of the controller’s business.

The customer also has the right to restrict the processing of data concerning them and to have personal data already registered for the above-mentioned purposes deleted, even if there would otherwise be a basis for processing the data.

Withdrawal of Consent

If the data in the register is based on the customer’s consent, the consent may be withdrawn at any time by notifying the controller’s representative mentioned in this policy.

Upon request, all data that does not have to be retained, or may not be retained, under law or another basis mentioned in this privacy policy will be deleted.

Procedure for Exercising Rights

Requests for inspection, correction or other matters may be submitted by contacting the controller’s customer service using the contact details provided in this policy.

Disputes

The customer has the right to refer the matter to the Data Protection Ombudsman if the controller does not comply with the customer’s correction request or other request.
